Data Security: Las Vegas

We have been educating our clients about data security in Las Vegas for many years. During this process, it has become apparent that many local business owners and managers still think that the hard drive is the most vulnerable area of their system. While it is certainly true that a secure hard drive is essential to any meaningful data security system, there are a few other areas that need at least as much attention as the hard drive.

To understand this relationship better, consider some recent changes in technology:

• System vulnerabilities are often created by sloppy or incompetent routing
• Fax cards and network cards should not share the same board
• Encryption should be current and relevant to the most recent threats
• Backup systems are security concerns, especially during power outages or natural disasters
• Data security kits, even when available, are not always properly installed

The modern copier is really an integrated system. Each potential threat should be given the same serious attention that your primary computer network receives. Please contact us if you have any questions!

Copier Las Vegas: Document Management Systems

Copiers in Las Vegas are often used to do much more than just print out documents, fax forms and perform scanning solutions. Document management functions have been gradually introduced into the design of copy machines. However, there are different ways to organize a document management system. One option is to contract these services through a third-party company; however, if the company goes out of business, as many do, you might have trouble retrieving your files!

The best option is to choose a document management system that will:

• Ensure that your data is safe under any circumstance
• Protect your business by maintaining litigation compliance
• Simplify the backup data system

Do not trust your valuable business information to just anyone. Document management is an integral component of your business. If you purchase a copier with a document management system in Las Vegas, it is worth taking the precaution to ensure that you are dealing with seasoned experts in this field.

We deal with companies who like simplicity. They want a simple flat rate for their services because they are easier to budget for this way. Often times, their copier contracts in Las Vegas are no different. We work hard to try and educate our customers of the dangers of just signing up for copier plans, however, some people don’t really care. Maybe it’s because we dob’t always deal with the business owners themselves. Let’s look at an example:

Meet Jill, a hardworking admin assistant for a law firm in Las Vegas. She is busy with many tasks from helping with interrogatives to scheduling new clients. Her day is full. The firm’s copier contracts are coming up (they have 5 copiers) and she has been given the job of finding new copiers for their Las Vegas law firm.

Jill knows she doesn’t know copiers well. She doesn’t have the time to learn a whole new industry. She calls around, and it seems to get more complicated. Jill will be a target for a rep who promises simplicity because Jill does not have time to do real analysis. So, what happens is several companies will offer contracts with overages, etc and then a contract with “unlimited” prints comes across her desk. Sure it’s $80 more a month per copier, but by the time they pay for all of these overages on their copier in Las Vegas… won’t it be the same?

The short answer is no. When the “unlimited contract” is formulated, it is done so with “worst case” in mind. If you don’t have the worst case… then you are paying too much! In this case, it’ll probably work out to be about $250 per month for 60 months, or a measly $15,000!

Buying the right copier in Las Vegas seems like it is much luck these days as skill. Almost seems impossible to find that company that will give you good honest advice and then back it up with excellent customer service! We know every company (including our own, unfortunately) can have a lapse in the customer service area and then the next thing you know you are calling another Las Vegas company for a copier!

So what do you avoid?

Avoid any company who recommends devices before asking qualifying questions about your environment.

Avoid companys that have no vendor tie ins with a manufacturer. Even a small copier company should be sighned up with 1 or two legitimate vendors.

Avoid 5 year leases for the most part unless you actually tend to last at least 5 years with your current copier fleet!

Give us a call if you need a copier in Las Vegas!
