We all realize the value of a buck these days.  This little article is designed to help people who really want to save money on their next copier in Las Vegas.  If you want to just buy from who you have always bought from or not think things through at all, this is not for you!  So, what is a good way to make sure you are saving money on your copier in Las Vegas or your color copier in Las Vegas?  ITEMIZING!!

Here is what you need to do… Break down total costs down into the 4 basic catagories and them add these up.

  • Equipment costs
  • Supplies costs over the duration of time you’ll own the equipment
  • Maintenance costs
  • Other costs – Like shipping, installation, etc

Once you add all of these numbers together, you will start to get the total cost of ownership for each copier proposal in Las Vegas.  don’t get stuck on one line item.  Make sure you are disciplined and do this exercise for EACH ITEMIZED CATAGORY.

Some Contracts for Copiers Should be a Crime!

We deal with companies who like simplicity.  They want a simple flat rate for their services because they are easier to budget for this way.  Often times, their copier contracts in Las Vegas are no different.  We work hard to try and educate our customers of the dangers of just signing up for copier plans, however, some people don’t really care.  Maybe it’s because we dob’t always deal with the business owners themselves.  Let’s look at an example:

Meet Jill, a hardworking admin assistant for a law firm in Las Vegas.  She is busy with many tasks from helping with interrogatives to scheduling new clients.  Her day is full.  The firm’s copier contracts are coming up (they have 5 copiers) and she has been given the job of finding new copiers for their Las Vegas law firm.

Jill knows she doesn’t know copiers well.  She doesn’t have the time to learn a whole new industry.  She calls around, and it seems to get more complicated.  Jill will be a target for a rep who promises simplicity because Jill does not have time to do real analysis.  So, what happens is several companies will offer contracts with overages, etc and then a contract with “unlimited” prints comes across her desk. Sure it’s $80 more a month per copier, but by the time they pay for all of these overages on their copier in Las Vegas… won’t it be the same?

The short answer is no.  When the “unlimited contract” is formulated, it is done so with “worst case” in mind.  If you don’t have the worst case…  then you are paying too much!  In this case, it’ll probably work out to be about $250 per month for 60 months, or a measly $15,000!

It is human nature to do the same things we have been doing and not try to use new approaches because often the new approach can bite us and the predictable methods yields predictable results.  Most people aproach their copier purchasing in Las Vegas in this way.  They use the same methods to purchase a copier in Las Vegas as they did in 1988.

The process generally works like this:

  • Start with a copier the sales rep pushed at the beginning of the business.
  • Sign up for a 5 year contract
  • At year 4 and 1/2 the copier rep calls with a “free upgrade” – company takes this “free upgrade” and waits another 4.5 years..
  • etc..

What is the issue with this method?  The primary issue is that very few copier reps in Las Vegas will look at workflow, they will just sell a copier in Las Vegas without really taking the time to see what you need.  So, when they recommend a replacement, they often look at what you have, not what you need.  This means you could be spending too much on copiers 4 or 5 times if you don’t break the cycle…  this can cost your Las Vegas company thousands or even hundreds of thousands of dollars!
